Users

Add team members, assign roles and offices, reset passwords, and safely remove or restore access.

The Users page is where you manage everyone in your organization who has access to Simple-C — preparers, managers, and admins. From here you can add new people, change roles, reset passwords, and remove accounts you no longer need.

Who can see this page

The Users page is available to users with the Administrator, Manager, or Admin Simple C role. Regular users and preparers won’t see the menu entry. Everyone with access to this page is scoped to their own company and only sees the users they’re allowed to manage.

Getting to the page

Open the Account menu in the sidebar and click Users.

The user list

The list shows the people in your account, with these columns:

  • User — the person’s full name with their email underneath
  • Address — mailing address (street on the first line, city/state/zip on the second)
  • Role — the primary role assigned to that user (shown as a badge). If no role has been assigned yet, it reads “Unassigned”
  • Actions — buttons to edit, reset password, or delete (see below)

If there are no users matching your current filters, you’ll see “No users found.”

Filtering and searching

Above the list you’ll find:

  • Search — a free-text box that looks across name, email, work email, phone numbers, address fields, and PTIN. Type part of any of those and click Search
  • Role — a row of radio-style pills, one per role you’re allowed to assign, plus an “All” option. Pick a pill to show only users with that role

Click Search to apply the filters.

Adding a new user

  1. Click Add New at the top of the list

  2. Fill in the form. Fields are grouped into sections to make them easier to scan:

    Personal info

    • First Name (required)
    • Middle Name (optional)
    • Last Name (required)

    Account

    • Email (required) — this is the address they’ll use to sign in. It must be unique across all of Simple-C
    • Password and Confirm Password (required) — at least 8 characters, and the two must match

    Contact

    • Phone Mobile (required) — formatted (xxx)-xxx-xxxx
    • Phone (optional) — same format
    • Email Business (optional) — a secondary work email

    Address

    • Address (required), Address 2 (optional), City (required), State, Zipcode
    • Timezone — pick the US timezone they work in
    • PTIN — IRS Preparer Tax Identification Number (optional)

    Access

    • Role (required) — one or more roles, selected with checkboxes. You can only assign roles you’re allowed to manage (see the hierarchy below)
    • Offices (required) — one or more offices, selected with checkboxes. The list only shows offices that belong to your company
  3. Save

The new user can sign in immediately with the email and password you set.

Per-row actions

For each user in the list:

  • Edit — opens the same form, pre-filled with the user’s current details. You can update name, contact info, address, roles, and offices. Password is changed separately (below). When you change roles, the previous roles are replaced entirely with the new selection
  • Password — opens a small dialog where you can set a new password (minimum 8 characters, with confirmation) without opening the full edit form
  • Delete — removes the user. You cannot delete your own account; the button is hidden on your own row and the server blocks the attempt as well

Deleting a user is a soft delete — the account is deactivated and disappears from the list, but it isn’t permanently erased.

The Trash page

Administrators and Admin Simple C users also have access to a Trash page (linked from the Users area) where soft-deleted accounts are listed. From there you can:

  • Restore a deleted user — brings the account back
  • Delete permanently — erases the account for good. This action cannot be undone, so you’ll be asked to confirm first

Editing your own profile

The Users page is for managing other people. To change your own name, email, phone, or password, use the profile options available under your account menu instead.

Roles in Simple-C

Simple-C uses these roles to control what each user can access. A person can hold more than one role at the same time; Simple-C grants the union of the permissions.

Who can assign which roles

Not every role can be assigned by every manager. Simple-C follows this hierarchy:

  • Administrator can assign Administrator, Manager, Preparer, User, Admin Simple C, and Simple C
  • Manager can assign Preparer and User
  • Admin Simple C can assign Simple C

The Only Payment role is a system role that isn’t offered in the Users form — it’s used internally for billing-only access.

Tips

  • Assign more than one role when it makes sense. A person who both prepares files and manages the office can hold Preparer and Manager at the same time.
  • Pick the offices carefully. A user only sees clients and data tied to the offices you assign them. You can change the assignment later, but they won’t see new offices until you do.
  • Use the Trash page for mistakes. If you accidentally delete someone, restore them from the Trash before the account is permanently erased.
  • Keep PTIN up to date for anyone who prepares tax filings — it’s used for reporting and compliance.
