Bulk operations

Edit, move, or delete multiple records from Manual Entry while preserving the right transaction type.

When you’re working in Manual Entry, you can act on several rows at once instead of editing them one by one. This is the quickest way to clean up a long list of expenses, incomes, or cash incomes while you’re already reviewing a month.

Heads-up: Bulk operations only work across a single bank account. If your selection spans more than one bank, the action will be rejected with “All expenses must belong to the same bank.” Pick a bank in the page filters first, then select rows.

Selecting multiple rows

On any of the Manual Entry tabs (Expenses, Income & Adjustments, Cash Income), use the checkbox at the start of each row to pick the records you want to act on. The bulk action buttons (such as Edit Selected and Delete) appear as soon as at least one row is selected and show the number of items you’ve picked.

Tip: You can select rows across the Categorized and Uncategorized expenses views at the same time. Both groups act as one selection.

Maximum selection size

A single bulk action can process up to 1,000 rows at once. If you need to act on more, run the action in batches.

Bulk classify (Edit Selected)

Click Edit Selected to open the bulk classify modal. The modal lets you update several fields at once across every selected record:

FieldWhat you can do
CategoryReassign to a different IRS Schedule C category. Picks are labeled with the category code and name (for example, 8 | Advertising).
MethodChange the payment method (ACH, Credit Card, Check, Cash, etc.). Some methods ask for an extra detail — Check number for checks, last 4 digits for credit cards.
ProviderAssign or replace the provider/vendor. Leave the Keep existing provider toggle on to preserve the one each row already has.
DateAdjust the date per row (the modal preloads each row’s current date).
AmountEdit the amount per row.
DescriptionType a single description to apply to every row, or edit the description per row. A Copy current description button (clipboard icon) restores the row’s original text.

You can also remove individual rows from the selection without closing the modal — each row has an × button on the right.

When you’re happy with the choices

  1. Click Apply in the lower-right corner (the button shows the number of expenses you’re updating).
  2. Simple-C updates every selected row in one request and shows a success toast.
  3. The table refreshes automatically to show the changes.

The same flow exists for the Income & Adjustments and Cash Income tabs, each with the fields that make sense for that record type.

Skipped rows: If some rows can’t be updated — for example, a provider that doesn’t belong to your company — they’re returned in the response as skipped_items and won’t be changed. A toast tells you how many were skipped.

Moving expenses to income

In the Expenses bulk classify modal you’ll see two extra buttons:

  • Move to Income — converts the selected expenses into Income & Adjustments records.
  • Move to Cash Income — converts them into Cash Income records.

Click either one and a confirmation dialog appears. Confirm to move the rows.

  • The conversion keeps the underlying date, amount, method, provider, and description so nothing is lost — the rows simply live in a different tab afterwards.
  • If a row was previously moved from expenses to income and then deleted, moving it again restores the original income record instead of creating a duplicate.
  • Rows paid by cash (or marked as cash) automatically land in Cash Income, even if you click Move to Income. The reverse is also true — use the buttons on the destination tab to send them back.

Symmetric move: On the Income & Adjustments and Cash Income tabs, the equivalent Move to Expenses button does the reverse. Use it when a transaction was recorded under the wrong tab.

Bulk delete

To remove several rows at once:

  1. Select the rows you want to delete.
  2. Click the Delete button (trash icon) that appears in the toolbar.
  3. A confirmation dialog shows the exact number of records that will be removed.
  4. Confirm to delete them all in one request.

The same bulk-delete flow exists on each tab — Expenses, Income & Adjustments, and Cash Income.

Depreciation records — special delete

If the only rows selected are depreciation records (category ID 1), the delete button triggers a dedicated confirmation that previews everything that will be removed along with the depreciation:

  • The linked asset(s)
  • Every depreciation reference-year row across all years
  • The individual expense rows for each reference year

This preview exists because deleting a depreciation cascades to its asset and multi-year schedule. Read it carefully before confirming.

Note: You cannot bulk-classify depreciation rows. If you have depreciations mixed into your selection and you click Edit Selected, Simple-C automatically filters them out of the classify modal and shows a warning: “Depreciations have been filtered out of this selection.” Use the dedicated depreciation flow to edit or recreate them.

When to use Manual Entry bulk vs Bulk Updates

  • Bulk operations in Manual Entry are for quick cleanup while you’re already entering or reviewing a month’s records — reclassify a batch, fix a description, move a few rows to the Income tab, or delete duplicates. They’re fast and in-context.
  • For larger reclassifications across many months, banks, or businesses, use the dedicated Bulk Updates page instead. It has stronger filters and additional actions — Change Year, Reassign Bank, and Reassign Business — and works across far more records at once.

Troubleshooting

SymptomWhat to do
The bulk buttons don’t appearMake sure you’ve checked at least one row. The toolbar only appears when a selection exists.
”All expenses must belong to the same bank”Your selection spans more than one bank account. Pick a single bank in the page filters, then re-select.
”Depreciations can’t be edited” / “Depreciations have been filtered out of this selection”Depreciation rows can’t be bulk-classified. Delete them with the dedicated delete flow and create a new record instead, or use the depreciation editor.
”Maximum 1000 items allowed”Split your selection into batches of 1,000 or fewer and run the action again.
Nothing updates after I click ApplyA failed request usually means a permissions or server error. Refresh the page and try again; if it keeps failing, check whether some rows were skipped and listed in skipped_items.
I moved rows to the wrong tabUse the Move to Expenses / Move to Income / Move to Cash Income button on the destination tab to send them back.
Rows I moved to income disappearedThe moved rows are removed from the Expenses tab and appear on the Income & Adjustments (or Cash Income) tab. Switch tabs to find them.
