Manual Entry

Enter expenses, income, adjustments, and cash income directly, then review or correct existing records.

Manual Entry lets you create and maintain records without importing a statement. Use it for paper receipts, cash activity, missing transactions, and corrections. It also gives you searchable tables and bulk tools for records already entered.

When to use Manual Entry

  • You have a paper receipt and no digital record
  • You made a cash purchase
  • You need to correct or add a missing transaction
  • You don’t have access to bank statements
  • You need to move a record that was entered as the wrong transaction type

For a complete bank statement, use the Entry Workflow. It preserves the import and adds review, reconciliation, and completion steps.

The three Manual Entry tabs

The page is split into three tabs so you can keep your records organized:

  • Expenses — Bank or card-based expenses (categorized by IRS Schedule C)
  • Income & Adjustments — Income deposits and adjustments
  • Cash Income — Cash-only income that didn’t go through the bank

Pick the correct context first

Before you can enter a record, choose:

  1. The business
  2. The bank account
  3. The year (and month, when applicable)

Manual Entry remembers your selection as you switch tabs.

The business may come from the header selector. Bank and year are selected on the page. Before saving, confirm all three because they determine where the record appears in Summary and reports.

How to enter an expense

  1. Open the Expenses tab.
  2. Fill in the form:
    • Month and Day — short two-digit fields (the year comes from the selector at the top)
    • Provider — autocomplete; pick an existing provider or create a new one
    • Method — how the expense was paid (Credit Card, Check, ACH, etc.)
    • Amount — the dollar amount
    • Category — IRS Schedule C category in code | name format. Picking a category auto-fills the description (you can still edit it).
    • Description — what the expense was for
  3. If you picked Check as the method, enter the Check Number.
  4. If you picked Credit Card, enter the card’s Last 4 Digits.
  5. Select Save and wait for the success message.

Enter a depreciable asset

When the category is Depreciation (1 | Depreciation), the form asks for asset details such as description, useful life, and asset type. Complete those fields before saving. Simple-C creates the related asset and depreciation information with the expense.

If the asset is a vehicle, use the vehicle option when offered so the matching vehicle record can be created. Continue with Managing assets for editing and dispositions.

Enter income and adjustments

Open Income & Adjustments for money deposited through the selected bank and for entries that affect reconciliation.

The form supports regular income as well as special classifications such as:

  • Interest Earned — bank interest credited to the account
  • Adjustment — an amount that should be deducted from a statement record
  • Income Adjustment — an amount shown on the statement that should be treated as an income-side adjustment

Choose the type that matches the source record, then enter the date, method, amount, provider when required, and a useful description. If you are unsure which adjustment type applies, check the in-app help beside the option or ask the preparer responsible for the account.

Only one Interest Earned record may be appropriate for a given context depending on how the period is organized. The page disables or limits choices that would conflict with existing data.

Enter cash income

Use Cash Income when income did not pass through the selected bank account. Enter the date, amount, and description, then save.

Cash income contributes to the income totals in Summary, but it does not increase the selected bank’s deposited-income line because it never entered that account.

Locking fields to speed up entry

Each repeating field (Month, Provider, Method, Category, Card last 4) has a lock toggle. Lock a field once and its value stays in place after you save, so you can fly through a stack of receipts that share the same provider, category, or card.

Review every locked value before starting a new batch. A lock is a speed tool, not a default for every future record.

Find and review existing records

The tables below the forms update for the selected business, bank, and year. Use the view and search controls to narrow the list.

Expense views include:

  • All expenses
  • Categorized expenses
  • Uncategorized expenses

The counts beside those views are a quick cleanup check. If Uncategorized is not zero, classify those records before producing final reports.

Income and Cash Income have their own search and type filters. Clear the search when a record you expect is not visible.

Edit one record

Use the row’s Edit action to open the edit form. The available fields depend on the record type. Make the correction, review any asset or method-specific fields, and save.

Changing a financial field can alter Summary and reports immediately. After a material correction, reopen the relevant period in Summary and verify the totals.

Work with multiple records

Use the checkbox column to select records, then choose the available bulk action. Depending on the active tab, you can:

  • Edit or classify selected records
  • Delete selected records
  • Move expenses to income or cash income
  • Move income or cash income to expenses
  • Convert eligible legacy income types

Review the confirmation carefully. Moving a record changes which totals and reports include it. For a full explanation of the selection limits and special depreciation behavior, see Bulk operations.

Tips for accurate entries

  • Be specific in descriptions (e.g., “Office supplies from Staples” instead of “Supplies”)
  • Categorize immediately — don’t leave records uncategorized
  • Check the date — make sure it falls within the correct tax year
  • Use locking when you’re entering many similar transactions in a row
  • Search for an existing provider before creating a new spelling of the same vendor
  • Verify Summary after corrections that change amounts or transaction types
  • Avoid deleting for reclassification when a Move action preserves the record more accurately
